BOOKS and AUTHOR & COSPLAY MANAGER

Reports To: Director of Talent Relations - Books & Authors / Cosplay Manager

Position Summary:
The Talent Relations Books and Authors/Cosplay Manager assists the Director of Talent Relations with the Books and Authors/Cosplay department. This position requires excellent customer service skills, the ability to adapt quickly and multitask in high-stress situations, and a high level of organization and attention to detail. Management and mentoring of seasonal crew members onsite is essential. This person will report directly to the Director of Talent Relations for Books and Authors/Cosplay and work collaboratively with other managers as needed.
Key Responsibilities:
Review of confidential documents
Disbursement and collection of important forms
Direct supervision and training of seasonal team leads and crew
Creating staff schedules and task assignments
Fill in for various books and authors crew roles as necessary
Assisting with pre- and post-show data entry
Secondary point of contact on-site for author and cosplay guests, Talent Relations Crew, and other Fan Fusion departments
Communication with other departments and members of talent relations management
Communicating travel information and weekend schedules to author and cosplay guests
Clearly conveying any onsite last-minute changes to invited author and cosplay guests, Talent Relations Crew, and other departments as necessary
Managing data for travel, panels, and author signing schedules, and bookstore sales
Assisting with bookstore setup, takedown, and inventory
Other duties as assigned
Qualifications & Skills:
Required:
Customer service experience to include retail, email, and face-to-face communication
Strong leadership and team management skills
Bookstore, library, or other experience with current fictional literature
General understanding of Cosplay
Strong organizational skills and attention to detail
Comfortable with computers and learning new software quickly
Advanced knowledge of Google Workspace
Available for meetings and work sessions (virtual and in person). Required attendance at all meetings after May 1 (virtual or in-person)
Available to work on-site Thurs-Sun of the show for all required work hours
Preferred:
Point of Sale experience
Experience working in large-scale event environments
Familiarity with high-profile guest management and customer service best practices

Physical & Work Environment Requirements:
Ability to lift up to 50 lbs. (i.e., books, shelving)
Ability to remain mobile for extended periods of time and navigate event space quickly, with or without reasonable accommodations
Performance Metrics & Expectations:
Positive feedback from cosplay and author guests regarding their event experience.
Successful scheduling and coverage of crew
Effective management and leadership of the Books and Authors/Cosplay team
Adherence to event policies, security procedures, and service standards
Additional Information:
This position is hybrid, mostly work from home, with occasional in-person pre-showmeetings, occasional warehouse work, and 100% onsite work during the operation of Phoenix Fan Fusion.
Will require attending afternoon or evening meetings as scheduled, and weekend warehouse work leading up to the show.
Example of projected work hours:
August- February: 2- 5 hours per month
March/April 5-10 hours per week
May 10-15 hours per week
Show Week: 40+ hours
Dress code will include professional or event-specific attire
The hourly rate is $16.15, with a complimentary on-site hotel room, economy flight or on-site parking, and lunch each day during the convention. You will also receive an additional complimentary membership pass for a family member or friend, a convention T-shirt, and memories to last a lifetime!
