Welcome to the Exhibitor Information Page!


The information below is for Exhibitors, Sponsors, Costuming Groups, and Guests that will be participating in our Lower Level Exhibit Hall, Lower Level Lobby, Upper Level Game Tabletopia Hall, Upper Level Lobby, and 120 Ballroom.

EXTRA EXHIBITOR ACTIVITIES

Exhibitors may have the opportunity to participate in additional aspects of the show. Donations to charity events, scavenger hunts, etc. These activities will be posted here for Exhibitors to review.

Packing List


Exhibitor Insurance

Insurance coverage must cover the days of the event (June 5 - 7, 2026). Certificate of insurance or proof of insurance must be uploaded to Eventeny by Thursday, April 30, 2026.


To upload your insurance documentation, log into your Eventeny.com account.


Updating Business Information

The Business Name listed in the Eventeny account will be used for the printed program guide and for the mobile app. Any updates must be completed by Friday, April 24, 2026.

What comes with your space

Lower Level Exhibit Hall

  • Corner Booths (no In-line spaces)

    • 10ft x 10ft space

    • Comes with one (1) 8ft table, two (2) chairs, three (3) Exhibitor Badges, a trash bin, and an Exhibitor sign.

    • 8ft tall red and white pipe and drape behind the booth, with a 3ft tall red or while pipe and drape between the next booth.

    • Tables are skirted in either red or white.

    • Exhibitors with island spaces must request their pipe and drape through the decorator.

    • One (1) free pallet per booth purchased for load-in/out.

  • Artist, Author, Creator, and Dealer Tables

    • 6ft x 8ft space

    • Comes with one (1) 6ft table, two (2) chairs, three (3) Exhibitor Badges, and an Exhibitor sign. Space does NOT come with a trash bin.

    • Spaces are sold as 6ft x 8ft spaces. However, they are set up as 6ft x 10ft. Two feet must remain clear on either side of the pipe and drape so Exhibitors can move in and out of their spaces.

    • 8ft tall black pipe and drape behind the space.

    • Tables skirted in black.

    • All Front Endcaps and Endcaps must leave the 2ft of space in front of the pipe and drape so their neighbors access to their spots.


Upper Level Gaming Hall

  • Corner Booths (no In-line spaces)

    • 10ft x 10ft space

    • Comes with one (1) 8ft table, two (2) chairs, three (3) Exhibitor Badges, trash bin, and an Exhibitor sign.

    • 8ft tall red and white pipe and drape behind the booth, with a 3ft tall pipe and drape between the next booth.

    • Tables are skirted in either red or white.

    • One (1) free pallet per booth purchased for load-in/out.


Purchasing additional exhibitor badges

Exhibitors may purchase up to three (3) additional Exhibitor Badges at $77 each, plus applicable taxes and fees. These badges may be purchased onsite during Wednesday and Thursday load-in using a credit card.


Please note that additional Exhibitor Badges are limited per Exhibitor, not per space. For example, whether you purchased one space or multiple spaces, you may purchase a maximum of three (3) additional badges.


Additional Services (decor, power, internet, etc.)

Convention Solutions + Innovation (CS+I) is the decorator for Phoenix Fan Fusion.


Exhibitors will receive email communications from CS+I starting in late March 2026. Their Exhibitor portal will allow Exhibitors to review what their space comes with, approve their space package, and purchase additional services such as tables, chairs, etc.


Power and Internet can also be purchased through CS+I’s Exhibitor portal. Power is available with Commonwealth and internet through SmartCity.


Things to note when reviewing the Exhibitor portal:

  • Pallet Service

    • Lower Level Exhibit Booths receive one free pallet per booth purchased for pallet service.

      • Artist, Author, Creator, and Dealer Tables do NOT receive a free pallet.

    • Upper Level Game Tabletopia Booths receive one free pallet per booth purchased for pallet service.

    • Additional pallets and pallet service may be purchased before the show and onsite.

  • Freight

    • If you are using a freight or carrier service (bill of lading) that is NOT associated with CS+I to deliver or pick up your stock from the event, you will be subject to fees from CS+I.

Exhibitor Show Day Access

General Reminders

  • All weapons, prop, and security policies will be in effect on Friday, Saturday, and Sunday and apply to Exhibitors.

  • Dock access is not permitted on show days.


Entrance E

  • Opens at 7:45am Friday, Saturday, Sunday

  • Located on east side of the North Building on 5th St between Washington St and Monroe St

  • Exhibitors with boxes, bins, rolling carts… anything larger than a backpack will need to enter the building through this entrance.


Entrances A, B & C

  • Opens at 8:30am on Friday and Saturday, 9:00am on Sunday

  • Exhibitors may use these entrances if they are entering with only personal items


Show Entrances








Exhibitor Access to Halls

  • Can access as early at 8:00am on Friday, Saturday, and Sunday

  • Can stay after until 8:00pm on Friday and Saturday


Attendee Hours

  • Halls are open from 10am to 7pm on Friday and Saturday, 10am to 5pm on Sunday

  • Lobby and Pre-function spaces are open at 8:30am to attendees


TONTO MARSHALING YARD

Exhibitors with Exhibit space in the Lower Level Exhibit Hall and Lobby that want to use the dock will stage through the Tonto Marshaling Yard before accessing the dock. More information on that process is in the Load-in and Load-out information sections below.


Exhibitors need to RSVP for a time slot to access the Tonto Marshaling Yard to stage. Without an RSVP, wait times may be longer.


Tonto Marshaling Yard - 1102 E Tonto St, Phoenix, AZ 85034


Access times - Load-in

  • Wednesday, June 3 at 2:30pm

  • Thursday, June 4 at 6:45am

  • Tonto will close at 8:00pm on Wednesday and Thursday


Access Times - Load-out

  • Tonto Pass required

  • Sunday, June 8 at 5:00pm

Tonto to Dock Directions



RSVP Form

The RSVP form is only for Exhibitors with space in the Lower Level Exhibit Hall and Lobby. This form allows exhibitors to reserve a time to access the Tonto Marshaling Yard for dock access during load-in. There is no RSVP form required for load-out.


The RSVP form will open on Sunday, April 26, 2026, and must be submitted by Saturday, May 16, 2026. An email notification will be sent when the form becomes available.


While submitting an RSVP is not required, it is strongly encouraged. Reserving a time helps PFF crew and security manage load-in traffic efficiently. Exhibitors without a reserved time may experience longer wait times depending on dock availability.


Load-in Information

General Reminders

  • All Exhibitors have 30 minutes to unload their vehicles at any loading area. Set up must be done AFTER the vehicle is removed from the dock or loading area.

  • Use of pallet service is optional. Exhibitors may use personal dollies or wagons; pallet jacks are not permitted. All pallets must be moved by the decorator.

  • Minors are not permitted during load-in or load-out.


Load-in Times (All halls and locations)

  • Wednesday, June 3: 3:00pm – 9:30pm

  • Thursday, June 4: 7:00am – 9:30pm

  • See the Tonto Marshaling Yard section for access hours.

  • Facility and dock entry ends at 9:00pm. 

  • All Exhibitors must be off the docks and out of the building by 9:30pm.


Lower Level Exhibit Hall & Lobby (dock access)

This section is for Exhibitors who have Exhibit space in the Lower Level Exhibit Hall or Lobby that want to use the dock to load-in. Additional Information for the Tonto Marshaling Yard and RSVP can be found above.


Before the show:

  • Exhibitors need to submit their RSVP for their load-in time

    • RSVP time = entry time to the Tonto Marshaling Yard

    • The RSVP form is linked below.

    • While an RSVP is not required, it is strongly encouraged. Exhibitors without a reserved time may experience longer wait times depending on dock availability.


For Load-in:

  • At your RSVP time, go to the Tonto Marshaling Yard to receive your dock pass, pallet passes, and queue for access.

    • Pallet passes are provided for exhibitors with booths or those who purchased pallet service.

  • When directed by security, drive to the dock entrance

  • PFF Crew and security will verify your dock pass at the dock entrance, then direct you to the Lower Level North Dock where additional PFF Crew and security will direct you where to park.

  • After parking...

    • Check in with the Dock Master to receive your pallets to your vehicle

    • Check in at the Exhibit Manager’s Booth to receive your badges

    • Unload your vehicle to your space

    • Remove your vehicle from the dock

    • Return to setup your space


5th St - Street Level

This section is for Exhibitors who have Exhibit space in the Lower Level Exhibit Hall or Lobby that can hand carry their items in and do not want to use the dock.


  • Vehicle restrictions: Passenger vehicles only. U-Hauls, vehicles with trailers, and large vehicles must use the Tonto Marshaling Yard for dock access.

  • Available on 5th St. between Monroe St. and Washington St.

  • PFF Crew and Phoenix PD will direct Exhibitors on where to park

  • Check in with PFF Crew for a pass that will be placed on your dashboard


Upper Level Game Tabletopia

This section is for Exhibitors who have Exhibit space in the Upper Level Game Tabletopia Hall.


  • Exhibitors will go directly to the dock entrance on 5th St., just north of Washington St.

    • Do not go to the Tonto Marshaling Yard

    • RSVP is not required

  • At dock entrance, PFF Crew will issue a dock pass then direct you to the Upper Level North Dock

  • Once on the dock, PFF Crew and security will direct you where to park.

  • After parking...

    • Check in with the Dock Master to receive your pallets to your vehicle

    • Check in at the Exhibit Manager’s Booth to receive your badges

    • Unload your vehicle to your space

    • Remove your vehicle from the dock

    • Return to setup your space


Exhibitors with Spaces in Exhibit Hall AND Game Tabletopia

All stock and items need to be loaded in on Wednesday to the Lower Level, then the Freight Elevators can be used to move all items upstairs to the Game Tabletopia.


120 Ballroom

  • This load-in area is for Costuming and Science Groups only. Other exhibitors will be directed to the Tonto Marshaling Yard or 5th St.

  • Costuming and Science Groups will use the Monroe St. pull-out for load-in.

    • Drive north on 5th St., then turn left onto Monroe St.

  • Security staff will be onsite to check you in.

  • Drivers will be required to make a u-turn into the pullout.


LOAD-OUT

Load-out is the hardest part of any show. While we've had up to a day and half to set up, we only have a handful of hours to pack up and load-out the show. 


We ask everyone to be patient, be safe, and be kind.


Load-out Times (All halls and locations)

  • Sunday, June 7, 2026 starting at 5pm once all the halls are closed

  • Roll up doors will be opened to halls once all attendees have left the building

  • Security will be monitoring freight elevator, passenger elevator, and escalator usage for safety


General Reminders

  • Exhibitors may start packing up their spaces after 5pm when the Halls close. 

  • The entire space must be packed before accessing any of the load-out areas.

  • Exhibitors have 30 minutes to load their vehicles.

  • Use of pallet service is optional. Exhibitors may use personal dollies or wagons; pallet jacks are not permitted. All pallets must be moved by the decorator.

  • Minors are not permitted during load-in or load-out.

  • Load-out finishes at 11:30pm

  • Dock passes must be on the vehicle dash, visible, and clearly labeled.



Lower Level Exhibit Hall & Lobby (Dock Access)

  • Exhibitors using pallet service must check in with CS+I on Sunday during the day to arrange pallet delivery. Pallets may not be delivered if you do not check in.

  • After your space is fully packed, PFF Crew will issue a Tonto Pass.

  • With your Tonto Pass, check in at the Tonto Marshalling Yard to receive a dock pass and line-up instructions.

    • Priority access is given to Artist, Author, Creator, and Dealer Tables. Once these areas are cleared, vehicles may enter for faster load-out.

  • When directed by Security, drive to the dock entrance.

  • Dock staff will verify your dock pass, direct you to the Lower Level North Dock, where additional staff will assign parking.

  • After parking, check in with the Dock Master to retrieve your pallets (if needed) and safely load your vehicle.


5th St - Street Level

  • Vehicle restrictions: Passenger vehicles only. U-Hauls, vehicles with trailers, and large vehicles must use the Tonto Marshaling Yard for dock access.

  • Available on 5th St. between Monroe St. and Washington St.

  • PFF Crew and Phoenix PD will direct Exhibitors on where to park

  • Check in with PFF Crew for a pass that will be placed on your dashboard


Upper Level Game Tabletopia

  • Exhibitors should go directly to the dock entrance on 5th St., just north of Washington St., to check in with Dock staff to receive a dock pass.

  • Exhibitors can access the dock starting at 4:00pm. However, they must remain in their vehicles until the hall closes at 5pm. At that time, they may enter the hall through the dock to start loading out.

  • PFF Crew will direct Exhibitors where to park once on the dock.


120 Ballroom

Costuming Groups should be packed up before accessing the Monroe St pull out. Access is limited, so be mindful of when and how long you are accessing the pull out.
